How we collect, use and protect your personal information.
This policy explains what personal information Quick Airport Transfers collects when you use our website, book a transfer or contact us. It also covers what we do with it, who we share it with, how long we keep it and your rights. If you have a question, email info@quickairporttransfers.co.uk.

Quick Airport Transfers is a trading name of Quick Airport Transfers Limited, a company registered in England and Wales (company number 14479485), with its registered office at Suite 500, AW House, 6-8 Stuart Street, Luton LU1 2SJ. Quick Airport Transfers Limited is the data controller for the personal information described in this policy, and is registered with the Information Commissioner’s Office (ICO), registration number ZC280614.
When you ask for a price or book. Pickup and drop-off addresses, date and time, passengers and bags, car type, flight numbers, return-journey details and any notes you add, such as a child seat or Meet & Greet. When you book, also your name, email address and phone number.
When you pay. Card payments are taken on Stripe’s own secure payment page. We never see or keep your full card number; Stripe tells us whether the payment went through, the amount and a payment reference. If you pay by bank transfer, our bank shows us the name and reference you paid with.
When you contact us. What you write in our contact form, in emails or on WhatsApp, and what you tell us on the phone. We do not record phone calls.
After your trip. If you leave us a review or a rating, your words, your rating and the name you give.
When you sign up for offers. Your email address, and a record of your choice (section 4).
When you use our website. Our server records technical details of each visit (IP address, browser, the page asked for and the time) to keep the site working and secure. We also note how you found us, for example a Google advert, a search, another website or one of our emails, and save it with your booking. With your permission (section 5), analytics and advertising tools also record how you use the site.
We do not collect your device’s location, and you cannot sign in to our website with a social-media account.
| What we use it for | Legal reason |
|---|---|
| Taking and managing your booking: confirmations, the reminder the day before pickup, receipts, your driver’s details, payment and refunds | To carry out our contract with you |
| Tracking your flight, so your pickup time moves if the flight is delayed or early | To carry out our contract with you |
| Giving your driver what they need for the job | To carry out our contract with you |
| Answering your questions and complaints | Our contract with you, or our legitimate interest in helping customers |
| Asking for a review after your trip (you can tell us not to ask) | Our legitimate interest in improving our service |
| Keeping accounts and tax records | Our legal obligations |
| Keeping the website and payments secure, and preventing fraud and misuse | Our legitimate interest in protecting the business and our customers |
| Understanding how the website is used and which adverts lead to bookings | Your consent (section 5) |
| Offers by email | See section 4 |
We never sell your information. We share it only with the people and services below, and only what each one needs.
| Who | Why | What they receive |
|---|---|---|
| Your driver, or the partner taxi company carrying out your journey | To do the job | Your name, phone number, pickup and drop-off, date and time, flight, passengers, bags and notes. You receive the driver’s name, phone number and car registration. |
| Stripe | Card payments and refunds | Your name, email address, the amount and the card details you type on Stripe’s page |
| Hostinger | Hosts our website, database and email | Everything we hold, stored on our behalf |
| Google Maps suggests addresses as you type and works out the route for your price. Google Analytics and Google Tag Manager measure how the website is used. Google Ads measures which adverts lead to bookings. Our office reads booking emails in Gmail. | Addresses you type; details of your visit; the booking reference and value. If you allow advertising cookies, also your email address, phone number and name in a scrambled (hashed) form, so Google can match the booking to an advert click. Copies of our booking emails. | |
| OpenAI (ChatGPT Ads) | Only if you allow advertising cookies: measures which of our adverts in ChatGPT lead to bookings | Details of your visit, the ChatGPT advert you arrived from, and when you book, the booking reference and value. OpenAI’s tag, and our booking system after you book, may also send contact details such as your email address or phone number in a scrambled (hashed) form, so the booking can be matched to an advert click. |
| Microsoft (Clarity) | Only if you allow analytics cookies: shows how pages are used (clicks, scrolling) so we can improve them | Details of your visit |
| Tawk.to | The live chat on our main website (not on our blog) | Your chat messages and anything you tell us there |
| AeroDataBox (through API.Market) | Flight status, for flight tracking | The flight number and date only |
| Our bank | Payments by bank transfer | The name and reference you pay with |
| WhatsApp (Meta) | If you message us on WhatsApp | Your messages |
| Professional advisers and public authorities | When the law requires it, or to protect our rights | What the law requires |
If our business, or part of it, is ever sold, your information may pass to the new owner, who must use it in line with this policy.
Outside the UK. Google, Microsoft, OpenAI, Stripe and Tawk.to may handle information outside the UK, for example in the United States. They do so under the safeguards UK law requires, such as the UK-US data bridge or the UK international data transfer agreement.
Offers and travel tips by email. When you book with us, we may send you occasional emails about our own airport transfers: offers, travel tips and reminders to book. We only do this if you did not tick the “rather not” box when you gave us your email address, or, on a phone booking, if you told us you were happy to receive them. If you sign up on our website, we only email you after you confirm your address. We never sell or rent your details to anyone for their own marketing.
Every one of these emails has a link to stop them, and you can also stop them at any time on our email preferences page or by emailing booking@quickairporttransfers.co.uk. It takes effect straight away. Emails about your bookings – confirmations, reminders and receipts – are part of the service and still come whatever you choose.
Knowing whether our emails are useful. Our offers emails contain a tiny picture and links that tell us when an email was opened and which link in it was clicked. We use this only to see how well each email works – for example, to stop sending what nobody reads – and it is never sold or shared. If you would rather we did not know when you open an email, set your email program not to load pictures by itself. Stopping our offers stops this too.
Our adverts. We may show our adverts to customers who are happy to receive our offers, on Google and the sites Google works with. To do this we may give Google your email address in a scrambled (hashed) form, which Google uses only to recognise you and then discards. To object, stop our offers as above, or email us.
What we keep. We keep a record of your choice – when you made it, where, and the exact words you were shown – so we can always show that we asked. If you tell us to stop, we keep your email address on our “do not email” list for as long as we send offers, so that a later booking can never put you back on our list by mistake. This record is kept for longer than the period in section 6, for that reason only.
The legal basis is the UK rule for emailing existing customers about similar services (the Privacy and Electronic Communications Regulations), our legitimate interest in telling our customers about our own services, and, for website sign-ups, your consent.
When you first visit, our cookie banner asks for your permission. Essential cookies are always on. Analytics, advertising and live-chat cookies stay off until you say yes. You can change your mind at any time with “Cookie settings” at the bottom of every page.
| Cookie or tool | What it does | When it is used |
|---|---|---|
| PHPSESSID | Keeps your booking details between the booking steps | Always (essential); ends when you close your browser |
| qat_consent | Remembers your cookie choice (a copy is also kept in your browser’s storage) | Always (essential); 180 days |
| Google Analytics (_ga, _ga_*) | Counts visits and bookings | Only with your permission (analytics) |
| Microsoft Clarity (_clck, _clsk) | Shows how pages are used | Only with your permission (analytics) |
| Google Ads (_gcl_*) | Shows which adverts led to a booking | Only with your permission (advertising) |
| ChatGPT Ads (__oppref, __obref, __oaiq_consent) | Shows which of our adverts in ChatGPT led to a booking; __oaiq_consent only remembers your advertising choice | Only with your permission (advertising); __oppref 30 days, __obref 1 year |
| Tawk.to (twk_*, TawkConnectionTime) | Runs the live chat | Only with your permission (live chat), or when you press a chat button; main website only |
Before you choose, or if you say no, Google’s tags still send Google basic signals without cookies, for example that a page was viewed or a booking was made. Nothing is stored on your device. Google calls this Consent Mode.
OpenAI’s tag for ChatGPT Ads is different: it is not loaded at all unless you allow advertising cookies.
Our offers emails also contain a tiny picture and tracked links; see section 4.
Our blog uses the same banner and has no live chat. It counts clicks from its articles to our main website without cookies and without storing your IP address.
| Information | How long |
|---|---|
| Bookings, payments and invoices | For as long as we run the business, so we can handle your future bookings, questions and our accounts (tax law requires at least 6 years). You can ask us to delete your contact details at any time, unless the law requires us to keep them. |
| Messages that did not lead to a booking (contact form, email, WhatsApp, chat) | For as long as we run the business, unless you ask us to delete them |
| Reviews and ratings | While we show them, or until you ask us to remove them |
| Google Analytics | 14 months |
| Microsoft Clarity | For the limited period Microsoft sets |
| Server logs | A short period, for security |
| Your choice about offers emails | As set out in section 4 |
Copies in our backups are removed when those backups are replaced.
Our website uses a secure (HTTPS) connection. Card details go only to Stripe. Our staff and drivers sign in with their own accounts and see only what their job needs. No system is perfectly secure; if something goes wrong that puts you at risk, we will tell you and the ICO as the law requires.
You can ask us to:
Where we rely on your consent, you can withdraw it at any time; this does not affect what we did before. Email info@quickairporttransfers.co.uk. We reply within one month and there is normally no charge.
If you are unhappy with how we handle your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, telephone 0303 123 1113.
We may update this policy. The date at the top shows the latest version. If we make an important change, we will say so on our website or email you.
